When you want to introduce intuo within your company, you’ll need to communicate this to your colleagues. You need a communication plan. A communication plan is your road map for getting your message delivered to your audience. It’s an essential tool for ensuring your organization sends a clear, specific message with measurable results. Writing a communication plan can be time-consuming. Here are six steps that will help you create an effective communication plan for your business.

1. Situation analysis.

  • Brainstorm with communication staff & project team.
  • Conduct surveys and focus groups.
  • Talk to different departments in your company.

2. Define your objectives.

What do you want to accomplish by implementing this communication plan? Your objectives should be SMART:

  • Specific
  • Measurable.
  • Achievable.
  • Realistic.
  • Time-focused.

3. Define your key audiences.

You need to know to whom you are delivering your messages. List all the key audiences of your organization. Is the communication for your teamleaders or also for the (future) users of the platform? Will you send it to everybody at once, or are you only selecting some teams to start with?

4. Identify media channels.

Plan to deliver your messages to your key recipients through multiple media channels. Decide which media channels would be the most effective to get your message delivered to your target audiences.
Possible options:

  • email
  • video
  • Sharepoint
  • Yammer
  • Slack
  • Intranet
  • FAQ
  • One-pager

5. Establish a timetable.

In order to achieve your communications objectives, you need to plan and time your steps for the best results. Based on your research and your resources, develop a solid timing strategy to execute the steps of your communication plan.

For example:
Week 0:
Send out a first communication email where you tell everybody that next month your company is going to implement a new performance management tool in stages (include some images of the platform).
Example emails

Week 1:
Tell the selected team (that will start with the tool) why you are going to use intuo and what you expect from them. You can do this via email or face to face, or ...

Week 2:
Create a CEO video where he/she explains what the value of intuo is and why it's important for your company that everybody uses it.

Week 3:

  • Send communication emails so users know how they should log in.
  • Share the FAQ and one-pager with more info about the use of the platform
  • Put all the information on your Intranet, Sharepoint, Yammer,...

6. Evaluate the results.

It’s always important to measure your results to understand whether you achieved your objectives. If you aren’t satisfied with the results, make necessary adjustments in order to perform better next time. You should also create reminder or reinforcement actions. Think about what you are going to communicate, if you see that nobody is giving feedback, creating their objectives, having coaching conversations,...
